Account Information. When you create an account, we collect your name, email address, and authentication credentials.
Player Data. Tryout administrators and authorized users may upload or enter player information including:
- Full name, date of birth, and gender
- Contact information (email, phone number)
- Team and position preferences
- Bib numbers and check-in status
- Performance evaluation scores and comments
- External IDs from imported data (e.g., registration systems)
Usage Data. We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, device information, and IP address.
Cookies and Local Storage. We use browser local storage to maintain your session, cache application data for performance, and remember your preferences. We do not use third-party tracking cookies. See Section 8 for details.
3. How We Use Your Information
We use collected information to:
- Provide and operate the TryoutDay platform
- Authenticate users and manage access permissions
- Enable tryout administration, player evaluation, and team selection workflows
- Communicate with you about your account and service updates

- With other authorized users within your tryout instance (e.g., evaluators can see player data for their assigned tryout)

5. Data Storage and Security
Your data is stored in AWS infrastructure located in the United States. We implement industry-standard security measures including:
- Encryption in transit and at rest using industry-standard protocols
- Secure authentication with enforced password policies
- Role-based access controls enforcing data isolation between organizations
- Multi-tenant data partitioning ensuring organizations cannot access each other's data
While we take reasonable measures to protect your information, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. When you delete your account, we will delete your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., audit logs, dispute resolution).
Player data associated with a tryout is retained for the lifetime of the tryout administrator's account. Tryout administrators may delete player data at any time through the platform.
7. Children's Privacy
TryoutDay may process data about minors (players under 18) as submitted by tryout administrators. We do not knowingly collect personal information directly from children. Tryout administrators are responsible for obtaining appropriate parental or guardian consent before entering any minor's personal information into the platform.
If you are a parent or guardian and believe your child's information has been entered without consent, please contact us and we will take steps to remove it.
8. Cookies and Local Storage
TryoutDay uses the following browser storage mechanisms:
- Authentication tokens (required) - Used for secure session management
- Application cache (functional) - Used to improve performance and reduce loading times
- Session data (functional) - Used to maintain your active session
- User preferences (functional) - Used to remember your settings
- Cookie consent preference (functional) - Used to remember your consent choice
We do not use third-party advertising or tracking cookies. All storage is first-party and necessary for the operation of the Service.
9. Your Rights
Depending on your location, you may have the following rights regarding your personal information:

- Cloud infrastructure providers - Hosting, data storage, and authentication services
Our infrastructure providers maintain SOC 2 compliance and have their own privacy policies and data processing agreements. We ensure all third-party providers meet our security and privacy standards.

We may update this Privacy Policy from time to time. Material changes will be communicated via the Service or email. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy. We encourage you to review this policy periodically.
